The structural problem

The information arrives from everywhere. The standard has to come from you.

A scheme lands because you won the mandate, because stock is transferring, or because a development reached practical completion. Whatever the trigger, the handover pack arrives through whichever channel the other side prefers.

One large managing agent described it to us plainly. Information "comes from so many different avenues, and that is our biggest challenge: how it comes in, where it comes in from, who it comes in from". Email, share links, the client's own data room, the developer's intranet. Their ask was one word: "standardised".

The two ends of the transfer

Onboarding and offboarding are the same transfer, run in opposite directions.

Offboarding

Moving leaseholders from one managing agent to another is one of the sector's most persistent complaints. On 27 May 2026 the Housing, Communities and Local Government Committee recommended that an independent regulator for managing agents, with enforcement powers, be written into the Commonhold and Leasehold Reform Bill. The Property Institute's guidance already expects all relevant information to reach the client within four weeks of the handover date and reconciled accounts within three months, and is clear that the documents belong to the client.

Because the record that onboarded the scheme is the record you hand on, offboarding is a deal type on the same template. The incoming agent's checklist becomes an added workstream. Anything that happened outside the platform is added to complete the picture, and the transfer is evidenced item by item.

    RICS publishes the 4th edition of the Service Charge Residential Management Code. It applies to landlords, managing agents, RMCs and RTMs from 7 April 2026.

    The Housing, Communities and Local Government Committee publishes its pre-legislative scrutiny of the draft Commonhold and Leasehold Reform Bill and recommends an independent regulator for property managing agents with enforcement powers.
